Getting guests, or better guests is a constant challenge for guest booking agencies and solo podcasters the world over. While finding the guest is a challenge in of itself, it’s the actual outreach that is the most difficult part. Getting high-level people to open an email and want to sit down on your show can be tough. Which is why we are opening the doors on how to write and connect with potential guests.
Below we have included an edited version of our outreach templates. We have removed the podcast name and host information for legal purposes, but it should work great as a template for your show, as we have booked hundreds of guests with this method.

Hi [Guest Name/Company],
My name is [OUTREACH SPECIALIST] and I’m the Outreach Specialist at LaunchPod Media, working with the [Show Name] (ranking + Bragging Point). XXXXX is hosted by XXXXX. They were both studying in postgraduate medical fields when XXXXX was diagnosed with stage 4 cancer. Doctors told him to get his affairs in order, but they decided to take their health into their own hands. Now, three years later, they run their own clinic. XXXXXX is a clinic that consults people dealing with health issues through natural and alternative health methods. In the XXXXX podcast, XXXXXX and XXXXX emphasize empowerment by educating people on how to take matters into their own hands.
[We/They] have loved your [show/products/Instagram] and the work that you’ve done to promote and educate about alternative health. [3 Things Admiration Section]. We want to have you as [a guest/guests] on the show to explore your work and expertise. You’ll find that XXXXX has a fiercely loyal following, and I know this is an excellent platform for you to [share your expertise and/or promote your brand]. A couple of important things. This email is meant to be short so you can hear back from them and don’t take a ton of their time. We also want to make the main event connecting with you to screen them and get a feel for how you feel they would interview.
That is why you want to make sure that the potential guests have a seamless way to reach out to you. We personally use Calendly.com, but other sources like Hubspot work great as well.
Connect with your guests. Don’t just spam people. If you run around throwing an invite in every inbox you’re connected too you have relegated your podcast to the same level as spam email. Don’t’ do that. Take time to target the right people and communicate with them in a native natural manner. All our outreach specialists at LaunchPod Media spend a good chunk of their time making sure every single email is personable and relevant to the person they are trying to speak with.
Podcasting is a great tool for connecting with new potential clients and improving your social standing. You can build worldwide authority on a topic and make your show very impactful in almost any niche. However, one area where people tend to get lost with guests is that they think guests are the ‘end all be all.’ They are not. Having good content and speaking to your audience is more important. So don’t go overboard with guests, add your own content, and get your message down. If you do that, the guest requests will come to you.
